Derek Chapman Mind Coach ("I", "me") is run by Derek Chapman, a hypnotherapist and mind coach working in Grimsby and online. This policy explains what personal information I collect through this website and my services, why I collect it, who I share it with and what your rights are. I am the data controller for that information.

What I collect and why
When you contact me. The contact form and email give me your name, email address, phone number and whatever you write in your message. I use it to reply and to arrange a consultation. Legal basis: taking steps at your request before entering a contract, and my legitimate interest in answering enquiries.
When you book a consultation. Bookings run through Acuity Scheduling, which collects your name, email, phone number and the appointment details, and takes the consultation fee. Acuity processes that information under its own privacy policy, and I see it so I can hold the appointment and contact you about it. Legal basis: performing the contract you are entering.
When you complete an assessment. The Anxiety Patterns, Emotional Responses and Addiction Patterns assessments ask about your thoughts, feelings, habits and reactions. That is health information, which the law treats as special category data. Your answers and scores are emailed to me and to the address you give, and stored in this website's form records. I use them only to prepare for your consultation and to understand the pattern you want to change. I do not share them and I do not use them for marketing. Legal basis: your explicit consent, given when you submit the assessment. You can withdraw it at any time by asking me to delete your answers.
When you apply for Mind Set Reset. The application asks about your circumstances, health, medication and any support you are receiving, so I can judge whether a private programme in Vietnam is suitable and safe for you. Legal basis: your explicit consent. Applying does not add you to any marketing list.
When you work with me. During consultations and the Real Change Programme I keep brief notes on what we discuss and what we work on, together with your contact details, appointment history and messages you send me between sessions (including WhatsApp). Legal basis: performing our contract, and your explicit consent for the health information involved. I keep these notes for [DEREK TO CONFIRM: retention period, e.g. seven years] after we finish working together, then delete them.
When you buy an online course. The shop collects your name, email address and a password for your account, and your order history. Payment is taken by Stripe; I never see your full card details. Your account records which courses you own and your progress through them, so you can pick up where you left off. Legal basis: performing the contract, and my legal obligation to keep accounting records for six years.
When you buy the book resources. The resources page is protected by a shared password and does not collect personal information.
When you browse. The website records the usual technical information such as your IP address, browser and the pages you visit, and uses cookies and similar tools as described in the Cookie Policy. Analytics are only switched on with your consent.
Who I share information with
I do not sell personal information. I share it only with providers who help me run the practice, each bound by their own privacy commitments:
- Acuity Scheduling (bookings and consultation payments)
- Stripe (course payments) and WooCommerce (order records on this site)
- Fluent Forms, which stores form and assessment submissions on this site
- 20i, which hosts this website in the UK
- Email providers used to deliver messages and receipts
- Google (YouTube video embeds, and Google Analytics through Google Tag Manager if you accept analytics cookies) and Microsoft Clarity if you accept analytics cookies
- Northern Sauce, the agency that maintains this website, which may see data while fixing or updating it
Some of these providers process data outside the UK. Where they do, transfers rely on the UK's adequacy regulations or standard contractual clauses.
How long I keep it
- Enquiries: 12 months after the last message.
- Assessment answers and Mind Set Reset applications: until your consultation and any programme have finished, or 12 months from submission if we do not go on to work together, unless you ask me to delete them sooner.
- Client notes: [DEREK TO CONFIRM: retention period] after our work ends.
- Course accounts and orders: for as long as your account is open, and order records for six years for tax purposes.
- Website logs and analytics: as set out in the Cookie Policy.
Your rights
You can ask me to show you the information I hold about you, correct it, delete it, restrict how I use it, or send it to you in a portable format. Where I rely on consent, you can withdraw it at any time. Email [email protected] and I will respond within a month. If you are unhappy with how I handle your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Reviews and filmed stories
The reviews and filmed stories on this site are published with the permission of the people in them. If you have given permission and change your mind, tell me and I will remove your story.
Children
My services are for adults. I do not knowingly collect information from anyone under 18.
